Job hunting means a lot of things: courage, strategy, persistence⦠and a flooded inbox.
Between application confirmations, newsletter subscriptions you never asked for, recruiter messages, and the occasional āwe regret to inform you,ā itās easy for overwhelm to creep in.
But Iāve found a system that keeps things from falling apart ā or falling into spam. I call it myĀ Inbox Shield.

Iāve created custom folders like:
- Applications Sent
- Follow-Ups Needed
- Ghost ZoneĀ (for companies that never responded)
- Interview Prep
- Wins (for encouragement)
Every email gets a home ā so nothing gets lost in the digital void.
2ļøā£Ā Colour-Coded Spreadsheet + Link Tracking
Every job application is logged in a simple spreadsheet:
- Job title & company
- Date applied
- Status (dropdown menu: applied, follow-up, interview, etc.)
- Links to job post & resume file
- A notes column for deadlines or impressions
- Bonus: A column forĀ how I feel about itĀ (emotional data matters too!)
This helps me remember I am making progress, even when responses are slow.
3ļøā£Ā Auto-Tagging in Email
Iāve set rules so that subject lines with āThank you for your application,ā āWeāve reviewed your resume,ā or āInterviewā get flagged and filtered automatically. It saves me timeĀ andĀ emotional energy.

I used to dread opening my inbox.
Now I treat it like a dashboard ā not a battlefield.
Every ānoā is a sign Iām showing up. Every silence? Still a data point. And every thoughtful response ā even if itās a rejection ā is worth tracking, because it means IāmĀ in the game.

If I open my laptop looking overwhelmed, Diana hops up and flops across the keyboard. If I open it feeling calm and focused? She naps beside it instead.

You donāt need a perfect system to job search ā but you do need a way to stay sane. My inbox shield gives me that.
Because when I can see what Iāve done, Iām less rattled by what I havenāt heard yet.
